Answer to your questions

Primoforum

Primoforum has been developed for international use by facilitators and the back-end is therefore entirely in English. However, you can choose which language your participants will see on the large screen and their tablets or smartphones. You have the choice of 13 modern languages. The standard instruction text during a voting round serves as an example and is in English. You can adjust this at any time.

Not at all, you can easily get started using your and your participants' devices: laptop, tablet, smartphone, it does not matter. As long as you have access to the Internet, you can get started. However, please ensure that the operating system and Internet browser are up to date and not older than about four years.

Yes. In the form of a PDF file, in the main menu of your account. Still having issues and have a Primoforum subscription? Then you can call or email us 24/7. We will get you going right away. Our telephone number is +31 20 261 3460. You can send emails to support@primoforum.com.

Yes, the Primoforum front-end has been deliberately kept simple, ensuring that you will have full understanding of the application after just two hours. Naturally, there is also a manual available that explains the Primoforum features step-by-step. Moreover, instruction videos will be added to this manual in the near future.

It is efficient, because all processes run parallel. It significantly speeds up discussions. Everyone gets their turn, even the quiet guy with the brilliant idea. It is so simple that you can control the tool yourself as facilitator. Flexible, because the session can be adapted if the discussion goes differently than planned. And, last but not least: working with Primoforum is fun.

For anyone who works as a facilitator or trainer. Or those who lead group discussions, brainstorming sessions, multi-stakeholder sessions, citizen participation meetings or staff meetings. In short, anyone who wants to consult a group and wants to transform group knowledge into wisdom.

Voorbereiding

Yes, you can make a copy without the participant input. You will end up with an unused session again. You can subsequently adjust or expand this session.

A minute or two to start the session and a similar time to log in the participants. Done.

Yes. From anywhere with an Internet connection. However, Primoforum is primarily made for a "classroom setting". You will therefore have to ensure proper remote verbal communication with these participants. For example, through Skype, email or phone.

If you want to add your own variables (e.g. multiple choice), you can do so as follows. Open the voting round and click on the bottom field "select variables". The screen that now appears consists of two columns. The left column shows the input for question rounds; the right column shows the variables that can be voted on. Both columns are still empty. You can now enter text in the right column. Please note: once you have entered a variable, end with [Enter]. You can then add the next variable, etc. With last variable, also hit [Enter] and click [Save]. You will now return to the voting round screen and the variables will be listed on the right side of the "select variables" field.

You are free to decide that for yourself. For small groups: 1 to 2 persons. On the other hands, for larger groups you can form teams of 6-10 people. A major benefit of working with small teams is that people actually talk to each other and that answers can be formulated more effectively.

Primoforum is set up as a meeting/discussion tool. Primoforum can already be a welcome addition during meetings with just 5 people. For larger meetings, we advise you to encourage dialogue by forming teams of three to six people. After discussing them, every team sends their answer(s) through a single device (e.g. a tablet). You can currently form up to 60 teams (= 180 to 360 participants). However, you can register more than 60 devices (tablets/smartphone) during 1 session, although in that case we cannot guarantee optimum functionality.

Nothing. At least, in terms of working with the application. The learning curve for participants is zero.

Preparing the session and making sure the technology works: wifi, beamer, mobile devices.

Tijdens een sessie

Create a folder on the central screen to which you can easily add all similar input.

No. If the timer hits zero, nothing happens. You will maintain control of everything. The timer is mainly intended to give a sense of timing and rhythm to the group.

You can see this on your laptop screen; it displays the activity type of every tablet: team has not provided any input yet, team is typing, team has already submitted something.

No. You can, but it is not required. Together with the group, choose what input you want to include by adding the input to the voting form. You can also put similar input in one category and subsequently add this category to the voting form.

Ranking: place them in order of importance.
Weighing: everyone can give an X number of points to the options.
Multiple-choice: choose one (or more) of the following options.
Scaling: agree/disagree, score, satisfaction, importance, etc.
Yes/no: a binary answer.
X/Y, or multi-criteria question. Location on an axis grid.

Restart the browser, log in, and continue where you left off. All input will be saved.

Plug in a charging cable, or get a different tablet, log in, and continue where you left off. All input will be saved.

You do not have to do anything, because before you click "start", all tablets are in sleep mode. No input is possible at this time. The input is also blocked after you stop the question.

Click on the "time out" button (on the top right with the small hand). All tablets/phones will be notified: "Time out!" The participants will then ask you: What is going on? You can then explain the question differently and restart the session. No information is lost and everyone continues where they left off.

You can easily remove this from the report afterwards. Not from the session itself: Primoforum always registers input. However, input can be directly corrected or supplemented by you as a facilitator.

With a single click, you can switch between the "front-end" and "back-end" of Primoforum. You can easily reformulate a question, remove one or add one. This takes as long as typing it. This action is not visible to the participants. The new question can immediately be answered.

Yes, during preparation you can add images, videos or websites to a question. You can also use these to explain a question.

Then you can have members of a team vote individually. As a result, even when there is disagreement, everyone's opinion will count.

Yes, you can directly and easily create a voting form from the input given for the previous question(s). Together with a group, or behind the scenes.

It is easy. In Primoforum, choose "delayed display". In that case, the answers participants submit will not immediately be transmitted to the central screen. However, you will see the answers on your laptop. Only when the question is closed, the input of all teams will simultaneously be presented on the central screen. You can configure this per question in the configuration screen.

The participant may choose "add photograph" below the text field and take a photograph of the flip chart with his/her tablet or smartphone. He/she then gives the photo a title (in the text field) and clicks on "Send". A photo icon will now appear on the central screen. When clicked, the photo will be displayed. All photos submitted by participants will appear on a separate tab in the Excel report.

Yes. But do not choose "close session", because this will log out all participants. You only have to shut down your laptop or set it to sleep mode. All steps are saved in the cloud. You can reload them after lunch. Logging back in is not necessary. You can continue where you left off.

Yes. Simply do not end the session. All steps will be saved in the cloud, after which you can reload them the next day. Logging back in is not necessarily. Simply relaunch the browser.

Then the input will be lost and it cannot be retrieved. Therefore, before ending a question round, always ask: everyone ready? As a facilitator, the top of your laptop screen indicates whether people are still typing.

The language setting is intended to address the participants in the correct language. For this reason, the language setting only affects the central screen (projector) and participants' devices (tablets, phones). The facilitator's laptop remains in English. For example, if you create a 'scaling' type voting round, the answer options will be listed in English on your laptop, but the central screen and tablets will display them in the chosen language. What you can customize, is the instruction text for a voting round; this is just an example and in English.

Technology

Yes. But if the wifi is weak, Primoforum will be less fast. Generally speaking, Primoforum requires very little bandwidth, with one exception: if all teams start sending images at the same time. This will take a couple of seconds. Simple wifi routers can often not support more than 10 devices simultaneously. Please refer to your router's specifications.

Primoforum does not have to be installed. It simply works as soon as you open your account and start a session. For the participants: just log in and you are part of the session. The Primoforum home screen on the central screen explains to participants how to log in.

No software is required. You do not have to download anything. However, you must have access to the Internet.

First try to reload the page (refresh). If this does not work, restart the browser, log in and continue where you left off. If this does not work either, restart the tablet, log in and continue. If you still cannot log in, try a different tablet. In this case, you must log in under a new team name. No information is lost until the moment the tablet stopped responding.

No. It will be waiting for you on the cloud server until you return. Simply restore the connection and continue.

In a professional hosting environment in the Netherlands. With a Dutch (not American) shareholder (KPN). Of course, hackers and the NSA can access virtually anything, but our cloud server meets modern security standards and is not covered by the Patriot Act.

Yes. You can even use different devices (Windows and Mac) during the same session.

No special software; only a (somewhat) modern browser. Settings: sufficient battery, sleep mode at 15 minutes, keyboard/spellchecker in the language of the session. That is all.

A room. A wireless Internet connection (Wifi or 3G/4G). A projector or large TV screen. A laptop. And finally, mobile devices (tablets/smartphones) for the participants (teams). Oh and naturally, also a Primoforum account :-)

Primoforum requires an Internet connection. The easiest is a wifi connection. However, you can also create your own hotspot with a 3G or 4G router if wifi is not available. Fortunately, there are only few places without 3G or 4G coverage.

Yes, all devices that can connect to the Internet and have a screen are suitable. This may be a desktop computer, laptop, tablet or smart phone. Regardless of whether the device has an Apple, Windows or Android operating system. Please bear in mind that a recent browser is required (no more than 4 years old).

Account registration

Yes, you can always access your sessions. Even after your subscription has ended. Your account will simply be set to free. Your username and password will remain the same. As a result, you will be able to view and share your sessions as much as you like. Moreover, you can update your account at the click of a mouse.

Yes. This may be useful if you only conduct sessions a few times a year. The changeover point is often at approx. 7 months' use. This is when a Premium subscription becomes cheaper than a Flex subscription.

Because the free version only allows up to 3 question rounds. It is mainly intended to demonstrate the ease of Primoforum and all its possibilities.

With a single license, you can hold one session at a time. However, you are able to prepare and view more than one session at a time.

No problem. Go to the log in screen (manage.primoforum.com), enter your email address and choose "Forgot your password?". You will subsequently receive a link by email. With this link you can create a new password (at least 8 characters) and you'll have direct access to your account again.

No. The license is personal and may not be used by others.

Very easily. Go the main menu of the application and choose "Account". Here you can switch to a free account at the click of a mouse. Your paid subscription will be automatically terminated as soon as the end of the subscription period is reached.

Primoforum has been developed for international use. We focus on the global market. For this reason, the Primoforum tool is entirely in English. To register payment information, we make use of Chargify.com. We use the same environment and language for everyone around the world. Rest assured, payment is done in a secure environment, your data will be encrypted and never be shared with third parties. Should you have any further questions about payment, please send an email to finance@primoforum.com.

Within the account environment, you can easily switch between the three subscriptions. The change will be implemented at the end of your current subscription. If you switch to a free account, the contents of your session will be saved. You will also maintain access to your sessions. Should you wish to start a session again, you can easily switch back to a Flex or Premium account.

Certainly. Go the main menu of the application and choose "Account". Here you can switch to a monthly subscription (Flex) or annual subscription (Premium) with the click of a mouse.

Payment happens in advance, at the start of every period (month or year), depending on the subscription you have chosen. We charge by credit card or PayPal. After payment, you can immediately start your first session. Prefer to pay by invoice? Also possible. In that case, please contact info@primoforum.com or call +31-20-2613460.

All amounts, listed on the sited, exclude VAT.
With regards to VAT regulations, our subscription and invoicing system takes the billing address by default.

Certainly. You can pay via PayPal or by invoice. The benefit of paying by credit card or PayPal is that your account will be activated immediately. When paying by invoice, your account will only be activated if the amount has been transferred to our account. This could take a couple of days, for example.

Yes, regardless of the payment method, you will always receive a specified invoice with VAT details.

Payment can be done with a credit card or via PayPal. An annual subscription (Primoforum Premium) can also be paid by invoice. Please contact us at finance@primoforum.com.
